How to deal with the challenges of project team?



We already know the PEOPLE is one of the most important parts of any project. And that people are belong to the TEAM. Not only you but very experienced, successful people all over the world struggle to run a successful team to deliver a great project. So thought his article, we will like to give you some tips, which will help you about to deal with the challenges of the project team! So let's get started!

Now let's back to the team work challenges. When we look at the different teams attitudes based on their engagement we can classify teams in to three tips. They are -

  • Well Engaged Team

  • Less Engaged Team

  • Not Engaged Team

If you a running a project or you are contestant of Vietnam's Amazing student contest then you certainly belong of these class. Now, I will define each of those classes, so you can know you are belong to which type of class, and then also give you tips so you can change your to more engaged, sustain and reach to the goals of your project. So Here you are !



Well Engaged Team: This type members meet in person 2-3 times per week. They having a very active chat group, even the team members are not living in same city, they have online conference call (fb/zalo etc) 2 - 4 times per week. Is this matching to your team? then you are belong to this team. Now here are the tips for your team -


  • Keep the momentum: You team has a great start, but also so much important to ensure you keep the momentum in your team. To keep the momentum, the project leader should stay very active to talk directly to the member, in meeting or even in group chat. Ensure, you keep going forward and no issue happen with this engagement.

  • Value member's feedback: project leader should collect to give feedback every week from the team member, to ensure every stay active.

  • Document the progress: Every meeting online or off offline call ensure you make a meeting minute and assign each of the actions of that meeting to the project team member to ensure everyone know clearly what are they doing or will be doing.



Less Engaged Team: On this type member meet 0 - 1 time meet in person per week, team has a chat group but not more than 20 lines of chat per day in the group group, only 1 - 2 person write in chat group. Is this matching to your team? then you are belong to this team. Now here are the tips for your team -


Call for Resolution: The project leader should stand up and call for a meeting, first send email, then call to each of the member and meet as soon as possible. During the meeting ask these questions to each member

  • What is their problems which not letting them stay engaged well?

  • Then ask each of the members what is their proposed solution to solve those problems and become engaged?

Document those answer and solution of each member, put them all together in a word file, and together all the member sign that off together with the promise they will follow that together.


Take hard decision if required: During that meeting if you see any of the member only talking about the problem and not giving any solution, or not even clearly telling the problems, or even confirmed in phone call but did not show up on the meeting, then it's a RED ALERT for that member.


Ask to explain if still not answering clearly, then Project leader should propose that member to leave the team. Include that decision with the other members, include that meeting paper and sign that off. Tell the member who are leaving If you are part of the Vietnam's Student Contest, then take a photo of that photo and send that paper to organizer email - amazingstudentcontest@gmail.com and CC all the members of the team.




Not Engaged Team: On this type member meet 0 - 1 time meet in person per two weeks, team has a chat group but not more than 10 lines of chat per day in the group group, only 0 - 2 person write in chat group. Is this matching to your team? then you are belong to this team. Now here are the tips for your team -


Be the Driver of your team: If you are the person in the team who are still working for the project and others are working in the project, then this for you only. These are the things for your to remember -


  • If none help you, then you help yourself ! It will show other you can without anyone! Then those members will respect you, may someone of them will come and join you back too.

  • You are developing this project, so the whole project turn to belong to you only. So you should think this way example: Before you had a team of 4 member for that project, so you had only 25% share of your project. In case two dropped then your share increased to 50% ! In case 3 of other dropped so you have the opportunity to own the 100% ownership of your project. So you can continue developing your project, and after the contest, you can request new member to join your team from ur friends, Social hub, join the incubator of VSHR to scale up your project!

  • Be tactical and take the smarter way when you are short of resources. Example In case even you are alone and you need to interview people and also need to film at the same time, So you can use a laptop's camera and seat down in front of that with someone and record that session, you can use a selfie stick with the phone and record that too. Those tactical approach to handle the resource issues will be always appreciated by the judge and can bring you additional points!
